Section 1 — Introduction

Sentrival LLC is a Tennessee limited liability company providing AI-powered digital marketing services to small businesses nationwide. Our principal office is located at 9111 Cross Park Dr Ste D200, Knoxville, TN 37923.

This Privacy Policy explains what personal information Sentrival collects, how we use it, who we share it with, how long we keep it, and what rights you have over it. It applies to information collected through our website at sentrival.com, through our client portal at clients.sentrival.com, and through our service delivery operations.

We wrote this policy to be readable by a business owner who is not a lawyer. If you have questions about anything in it, email us at bradley@sentrival.com and we will explain it in plain language.

If you are a Tennessee resident, Section 7 explains your specific rights under the Tennessee Information Protection Act (TIPA), which went into full effect on July 1, 2025.

Section 2 — Information We Collect

We collect information in three ways.

Information you provide directly.

When you contact us, sign up for our services, or use our client portal, you may provide us with your name, business name, email address, phone number, business address, Google Business Profile URL, website address, and any other information you choose to share during the onboarding or service delivery process. Clients who use our Database Reactivation service may also provide us with their existing customer lists for use in that service. We use this information only to deliver the service you hired us for.

Information collected automatically.

When you visit sentrival.com, our website automatically collects standard analytics data including your IP address, browser type, the pages you visited, how long you spent on each page, and how you arrived at our site. We use this information to understand how our website is being used and to improve it. This data is not linked to your name or contact information.

Information from third parties.

As part of our reputation management service, we collect review platform data on behalf of our clients through our integration with BrightLocal. This includes reviews posted by your customers on Google, Yelp, and Facebook, as well as your business profile information on those platforms. We access this data to perform the services you hired us for, not for any other purpose. We also source prospect business information through Apollo.io for our sales outreach. This prospect data includes business names, owner names, and business contact information that is publicly available or licensed through Apollo.io's platform.

Section 3 — How We Use Your Information

To deliver our services. The primary reason we collect your information is to provide you with the services described in your service agreement. This includes managing your online reputation, building and maintaining your website, processing review requests, generating review responses, and delivering all other contracted services.

For business operations. We use your information for billing and payment processing through Stripe, for client communication including service reports and account updates, and for maintaining accurate records of the services we provide.

For legal compliance. We retain certain financial and transactional records as required by law. We may use or disclose your information as required to comply with applicable legal obligations, court orders, or regulatory requirements.

For service improvement. We may use aggregated and anonymized data — meaning data that cannot be traced back to any individual or business — to understand overall service performance and make improvements. We will never use individually identifiable data for this purpose.

What we will never do. Sentrival does not sell your personal information to any third party under any circumstances. We do not use your personal information for advertising purposes unrelated to delivering services you have contracted with us to provide. We do not share your information with data brokers, marketing companies, or any other party for their own commercial purposes.

Section 4 — How We Share Your Information

We share your information only in the specific circumstances described below.

Service providers.

We work with a limited number of third-party companies to operate our business and deliver our services. These companies receive access to your information only as necessary to perform their specific function, and they are required to protect your information under data protection agreements consistent with this policy. Our current service providers include:

  • BrightLocal — reputation monitoring and reporting platform
  • Supabase — secure database storage for client records
  • Railway — cloud infrastructure hosting
  • Stripe — payment processing (Stripe handles payment card data under its own PCI-compliant systems; Sentrival does not store payment card numbers)
  • SignNow — electronic document signing for service agreements
  • Twilio — SMS communications for our Missed Call Text Back service
  • Google Workspace — business email and productivity
  • Netlify / Vercel — website hosting
  • Apollo.io — prospect research for sales outreach

Legal requirements.

We may disclose your information if required to do so by law, in response to a valid court order or subpoena, or to comply with a request from a regulatory authority with jurisdiction over our business.

Business transfers.

If Sentrival LLC is acquired by or merges with another company, your information may be transferred to the acquiring or surviving entity as part of that transaction. We will notify active clients by email before any such transfer takes effect and will explain how your information will be handled under the new entity.

What we will never do. We will never sell your information to advertisers, data brokers, or any third party for their own marketing or commercial purposes.

Section 5 — Data Retention

Active clients. We retain your information for the full duration of your service relationship with Sentrival.

After cancellation. When your service agreement ends, we retain your information for 12 months. After that period, we permanently delete all personal data associated with your account except as described below.

Earlier deletion. If you want your information deleted before the standard 12-month post-cancellation period, you can request that in writing by emailing bradley@sentrival.com. We will confirm the deletion in writing. This right is subject to the legal retention requirement below.

Financial and legal records. Financial records, signed agreements, billing history, and other records required for legal or tax compliance are retained for 7 years as required by IRS regulations and applicable law. This retention requirement applies regardless of when you cancel your services and cannot be shortened by a deletion request.

Prospect data. Business contact information sourced through Apollo.io for outreach purposes is retained for 90 days after the last outreach attempt and then deleted.

Website analytics. Anonymous website analytics data is retained on a rolling 12-month basis.

Section 6 — Data Security

We take the security of your information seriously and maintain a set of practices designed to protect it.

Your data is stored in encrypted form using Supabase's secure database infrastructure. Access to Sentrival's systems is controlled through two-factor authentication on every platform that contains personal data. We use a professional password manager to ensure that every account uses a unique, strong credential — no password is reused across systems. API keys and sensitive credentials are stored as environment variables and are never hardcoded into our software. Our database is configured with row-level security, meaning each record is accessible only to the system function authorized to access it. Our GitHub repository is private with secret scanning enabled to prevent accidental exposure of credentials. Access to our database is further restricted to our application server's IP address only.

We monitor our systems continuously for unusual activity including financial anomalies, volume spikes, and email deliverability signals that may indicate a security issue. Our system includes an emergency kill switch that can disable all API integrations simultaneously in the event of a detected threat.

Breach notification. No system is completely immune to security incidents. If a data breach occurs that affects your personal information, we will notify you promptly and will take immediate corrective action including revoking compromised credentials, auditing affected systems, and documenting the incident and our response.

Section 7 — Tennessee Information Protection Act (TIPA) Rights

The Tennessee Information Protection Act (T.C.A. § 47-18-3201 et seq.) grants Tennessee residents specific rights over their personal data. If you are a Tennessee resident and Sentrival processes your personal data, the following rights apply to you.

Right to know. You have the right to know whether Sentrival is processing personal data about you and, if so, what categories of personal data we hold.

Right to access. You have the right to access a copy of the personal data Sentrival holds about you.

Right to correct. You have the right to request that we correct any inaccurate personal data we hold about you.

Right to delete. You have the right to request that we delete the personal data we hold about you, subject to legal retention requirements. We cannot delete records that we are required by law to retain, such as financial and tax records.

Right to opt out of sale. You have the right to opt out of the sale of your personal data. Sentrival does not sell personal data to any party for any purpose, so this right is satisfied by our business practices as a matter of course.

How to exercise your rights. To exercise any of the rights described above, send a written request to bradley@sentrival.com. Include your name, business name, and a description of the right you want to exercise. We will respond within 45 days. If we need additional time, we will let you know within the initial 45-day period. We will not discriminate against you for exercising your TIPA rights.

Section 8 — Cookies and Tracking

Sentrival.com uses cookies — small data files stored on your device by your browser — for analytics purposes. These cookies help us understand how visitors use our website so we can improve it.

What we use: Analytics cookies that collect information about page visits, time on page, and referral source. This data is aggregated and anonymous.

What we do not use: We do not use advertising cookies. We do not use cookies that track you across other websites. We do not participate in cross-site tracking or behavioral advertising networks of any kind.

How to disable cookies: You can disable cookies in your browser settings at any time. If you disable cookies, sentrival.com will still function normally.

Section 9 — Children's Privacy

Sentrival's services are designed for small business owners and are not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If we become aware that we have inadvertently collected personal data from a person under 18, we will delete it promptly. If you believe we have collected data from a minor, please notify us at bradley@sentrival.com.

Section 10 — AI and Automated Processing

Sentrival uses Large Language Models (LLMs) and automated AI agent systems as a core part of our service delivery. This includes the generation of review responses posted to your public business profiles, website content, reputation monitoring, and other services described in your service agreement.

What this means for you. AI-generated content, including review responses, is created by automated systems operating under the direction of Sentrival. While these systems are designed to produce accurate, professional, and appropriate content, AI technology is not infallible. AI-generated content may occasionally contain errors, inaccuracies, or responses that do not perfectly fit a given situation.

Your responsibility. Clients are ultimately responsible for the factual accuracy and appropriateness of content posted to their public business profiles. If you identify an AI-generated response that you believe is inaccurate or inappropriate, you can request a correction through your client portal or by emailing bradley@sentrival.com.

By using Sentrival's services, you acknowledge that AI systems are involved in service delivery and that you are responsible for reviewing AI-generated content that appears on your public profiles.

Section 12 — Policy Updates

We may update this Privacy Policy from time to time as our business evolves, as we add new services or platforms, or as applicable law changes. When we make material changes — meaning changes that could meaningfully affect how we handle your information — we will notify active clients by email to the address on file at least 14 days before the change takes effect.

Your continued use of Sentrival's services after receiving notice of a material change constitutes your acceptance of the updated policy. The effective date at the top of this page will always reflect when the current version took effect.
